Everything Hey Portal does, in the order you’ll meet it. Connect Attio, build a page for one client, send the link, see what they did with it.

Getting started

Two steps before you can build anything: prove your email, then let us read your Attio workspace.

  1. 1

Enter your email on the sign-in page and we send you a single-use link. There is no password to choose and none to forget.

  2. 2

    Connect Attio

Open Portals and connect your workspace over OAuth. You approve the connection inside Attio, so we never see your Attio password. We read the objects, lists and saved views you already have — nothing is written back.

  3. 3

    Build your first page

A portal if you want to share a table of records. A room if you want a proper client page with notes, videos, contacts and a plan on it.

Your first 7 days are free and include everything. No card is needed to start.

Portals

A portal is one read-only page, prepared for one client, showing the Attio records and columns you chose.

Pick what to share

Start a portal from Portals → New portal. You can share an object (People, Companies, Deals, anything custom), a list, or a saved view — which is the same object or list with Attio’s filters left switched on. Choosing a source resets the form, because its attributes are the only columns that make sense.

Settings

Columns
Tick the attributes visitors should see and drag them into the order you want, up to 50. Anything you leave out never reaches the page — the client cannot tell it exists.
Sort
Order the table by any one of the columns you picked, ascending or descending.
Title & description
The heading at the top of the shared page and a short line under it, up to 500 characters.
Branding
An https logo URL and a hex accent colour. On Pro and above you can also switch off the Hey Portal badge.
CSV download
On by default. Switch it off and the download button disappears; the data stays visible on the page.
Dashboard
Attach one of your report dashboards to render charts above the record table.
Password
Optional, up to 72 characters. We store a hash, never the password itself. Add one or take it off later without the link changing.

Share it

Saving gives the portal its own link, in the form /p/<token>. Send it to your client. They open it in any browser — no Attio account, no seat, no invite. Every portal has an on/off switch: turn it off and the link stops resolving straight away.

Portals are read-only by construction. Records are read from your workspace through the official Attio API and cached briefly so pages load quickly. Nothing a visitor does on a portal page writes back to Attio.

Rooms

A room is a portal with the content builder switched on — the same link, password, off switch and engagement tracking, but a whole page instead of a table.

Creating one

Rooms → New room asks four things: who it is for, their website, an optional Attio source, and a template. A room is allowed to carry no Attio data at all, but never no client — the client name is its identity, and branding is derived from their domain. Columns, sorting, branding, password and sharing are all set afterwards in the editor, where you can see the effect of each change.

Templates

Client onboarding
A welcome note, a phased plan with owners and due dates, and a place for docs.
Deal room
A summary, the recording and docs, pricing links, and agreed next steps.
Data share
A short note above the live Attio table. The classic portal, in room form.
Blank
An empty page. Build it however you like.

How a page is put together

A room is an ordered list of sections and blocks. A section is a titled group that holds blocks; nesting stops there, which keeps the table of contents two levels deep and the drag-and-drop predictable. A room holds up to 40 top-level nodes, and a section up to 24 blocks. Drag anything to reorder it.

Blocks & action plans

Seven kinds of block, plus the plan — the one part of the page your client actually works through.

Block types

Rich text
A formatted note. Mark it highlighted to give it the cream “for you” treatment.
Embed
Cal, Calendly, Loom, YouTube, Vimeo, Google Docs and Notion render inline. Any other link becomes a tidy link card instead.
Resources
Up to 24 labelled links, each with an optional description. Contracts, decks, folders.
Contacts
Up to 12 people with a role, email, avatar and note — who to ask about what.
Plan
The action plan, described below.
Records
The live Attio table, with the columns and sort you picked. A room can have one, or none.
Artifact
A self-contained HTML block for anything custom. It must be a complete document with no external scripts, stylesheets or iframes. Available on Pro and above.

Any block can be hidden. It stays in the room and you keep seeing it in the editor; the client never receives it.

Action plans

A plan is phases, and a phase is tasks — up to 12 phases with up to 40 tasks each. Every task has a label, an optional description, an owner (you or the client) and an optional due date, which shows as overdue once it passes.

Each task asks for exactly one thing:

Acknowledge
Read it, tick it off.
Link
A button through to a URL, with a label you choose.
Embed
A calendar or video opened inline, on the task itself.
Form
Up to 16 fields — text, email, long text or a select. Responses land in the engagement drawer.

Progress belongs to the page, not to a browser. Everyone holding the link sees the same ticks, and editing a room never overwrites what your client has already done.

Reports & dashboards

Charts built straight from your Attio records, with nothing exported. Keep them to yourself, or hang one above a client's table.

Dashboards

A dashboard is a titled group of reports. Each report reads from an object, a list or a saved view, sits at half or full width, and can be dragged into the order you want.

Report types

Insight
Current totals, averages and breakdowns.
Historical values
How a metric changed period by period.
Funnel
Conversion and drop-off across stages.
Time in stage
Where records spend the most time.
Stage changed
Volume or value entering stages.

Shaping a report

Metric
Count records, or count, sum, average, min or max of one attribute.
Group & segment
Break the metric down by an attribute, and split each group into series.
Filters
Narrow the records with equals, contains, starts or ends with, greater or less than, is set and is not set.
Visualisation
Metric, bar, line, pie or funnel. A grouped insight can be a bar, line or pie; an ungrouped one is a single number.
Options
Date granularity from day to year, how many periods to show, category sort and limit, stacking, axis labels, and a target line.

Putting one in front of a client

Attach a dashboard to a portal or room and it renders above the record table on the shared page. It stays read-only, like everything else there.

Engagement

What happened after you sent the link — which is usually the thing you actually wanted to know.

What gets recorded

Portal views and time spent, which sections were viewed, which embeds were loaded or opened, resource clicks, task interactions, form submissions and CSV downloads. Visitors are identified by a random id kept in their browser, so nobody has to sign in for this to work.

Reading it

Open the engagement drawer from any portal or room. It shows recent activity, content performance (which blocks held attention and which were skipped), the list of visitors, and every form response your client submitted.

Starter keeps the last 7 days of engagement. Pro, Agency and Enterprise keep the full history.

Sharing & access

A link, optionally a password, and an off switch. That is the whole access model, on purpose.

The link is the credential
Anyone holding it can open the page, so treat it the way you'd treat a shared document link. Every portal gets its own.
Password protection
Add a password to make the link ask for one. We store only a hash. Changing or removing it never changes the link, so you don't have to resend anything.
The off switch
Turn a portal off and the link stops working immediately. Fix what you need to, turn it back on, and the same link resumes.
Search engines
Shared portal pages are excluded from crawling in robots.txt, so they don't turn up in search results.
Read-only, always
There is no write path from a shared page to Attio. Nothing a visitor does can change a record in your CRM.

Plans & limits

Plans differ mainly in how many client pages you can keep switched on at once.

Trial
7 days with everything included and no card. Subscribe before it ends to keep your portals live.
Portal limits
Starter 5, Pro 25, Agency 100, Enterprise unlimited. Rooms count as portals.
What counts as one
One page prepared for one client — whether it holds a live table, an action plan, or nothing but a welcome note. A portal that is switched off doesn't count toward the limit.
Cancelling
Your portals are deactivated but never deleted, so the links stop resolving. Your Attio data is untouched. Resubscribe and everything picks up where it left off.

Troubleshooting

My client says the link doesn't work
Check the portal is switched on, and check whether you put a password on it — the page asks for one before it shows anything.
A column vanished from the table
The attribute was probably renamed or removed in Attio. Open the portal and pick the columns again.
Nothing loads and I'm asked to connect Attio
The OAuth connection was revoked or expired. Reconnect from the Portals page; your portals and their links survive it.
My embed shows as a link instead of playing
That provider isn't one we can safely frame. Use Cal, Calendly, Loom, YouTube, Vimeo, Google Docs or Notion, or leave it as a link card.
Records are missing from the table
If you shared a saved view, Attio's filters on that view are still applied. Check the view in Attio, or share the whole list instead.
Still stuck
Email hello@appstronauts.shop. Pro and above get email support; Agency and Enterprise get priority.

Easier to try than to read about

Set up one portal for one client and send the link. It takes about two minutes.
